As of October 1, 2021, the USDA requires that all grains served be recorded using ounce equivalents instead of standard units of measurement. This requirement applies to both the Bread/Alt and Infant Cereal components. To accommodate this policy, we have made the following changes to KidKare Food Program for both sponsored and independent centers. We strongly recommend that you complete all claims processing prior to enabling ounce equivalents.

Centers

UPDATED: (Independent Centers) We added a new settings to the Center Settings called  Do you want to use ounce equivalents when recording Bread/Alt and Infant Cereal foods? This setting defaults to No. When you enable this setting, all Bread/Alt and Infant Cereal food items added to your food list must include an ounce equivalents calculation, all quantities required for breads/grains will be calculated in ounce equivalents, and the following reports will reflect ounce equivalents: Menu Production Record, Weekly Quantities Required, and Daily Transportation Log. If you track actual quantities, Error 78 will look for ounce equivalents. The remaining items listed in these notes will also apply.
UPDATED: (Independent Centers) We added a new setting to the Center Settings called Do you want to use the food list calculation to required actual quantities for breads/grains? This setting is only available when Do you want to record actual quantities served after meal service? is set to Yes. This setting controls whether center staff can record quantities using a common unit of measure so KidKare calculates the ounce equivalents based on the food list, or whether center staff must enter all bread/grain quantities in ounce equivalents. This defaults to Yes.
UPDATED: (Independent Centers) When adding a Bread/Alt or Infant Cereal to your food list, you will be required to select the Grains Group to which the item belongs and enter nutrition label information so KidKare can calculate the total ounce equivalents present in one serving of the bread/grain. Infant Cereals are locked to Group I (ready-to-eat-cereal). You can lock this equation to prevent overrides on the Daily Menu page.
UPDATED: (Independent Centers) We have added indicators to your food list that call out Bread/Alt and Infant Cereals that do not have ounce equivalents calculations saved. One indicator is a red banner that allows you to filter to those items missing the calculation. Another is a red calculator icon that displays next to the food in the food list.
UPDATED: (Independent Centers) We added an option for center admins to switch existing Bread/Alts to ounce equivalents from the Record Menu window. This applies only to items recorded prior to this release.
UPDATED: A new error will display on the Claim Error report when a Bread/Alt or Infant Cereal without a saved ounce equivalents calculation is claimed. This is Error 107 and Error 108. These are warnings only and are meant to alert you/your sponsor that a bread/grain needs an ounce equivalent calculation.
UPDATED: We have updated the Bread/Alt and Infant Cereal items on default food list for independent centers and center sponsors.
UPDATED: When recording a Bread/Alt item, centers can click Calculate Oz Eq for 1 Serving to input nutrition label details and override the food list calculation. This is to help account for weight differences between brands and ensure that ounce equivalents are recorded accurately according to what is actually served.
UPDATED: If ounce equivalents are enabled, the Daily Menu page will show estimated quantities for Bread/Alt items in the following format: Common Unit - #.## oz eq. For example: 2 slices - 3 oz eq. If you record actual quantities and have set Do you want to use the food list calculation to required actual quantities for breads/grains? to No, all quantities for Bread/Alt and Infant Cereal items display in ounce equivalents only. This change also applies to the Record Actual Quantities and Record Leftover Quantities pop-ups.
UPDATED: When you record a Bread/Alt that is missing a calculation, a message displays on the Daily Menu page.
UPDATED: The Menu Production Record, Weekly Quantities Required report, and Daily Transportation Log now reflect ounce equivalents for all Bread/Alt and Infant Cereal items when ounce equivalents are enabled.
UPDATED: If you use individual infant menus, quantities recorded for these menus will reflect ounce equivalents for Bread/Alt and Infant Cereal food items. Note that you cannot override this calculation on individual infant menus.
