Onboarding Children and Payers

My Children

To view a list of all your participants click My Children in the navigation panel

  1. Filters
    • Search
      • Start entering in the Participants name to automatically filter the list by what you enter
    • Filter Participants by Status
      • Enrolled
        • Participants who are still in your care and a part of your program
        • Participants must be enrolled to be added to an Invoice
      • Inactive
        • Participants who are no longer in your care 
      • Both
    • Years/Months Old
      • Will show all Participants the age selected and younger
  2. Sort by
    • Alphabetical by Last Name, First Name
    • Alphabetical by First Name, Last Name
  3. To View a Child's Profile click their Icon & Name

Onboard Children

Onboarding Children and Payers is fast and simple. Store as much or as little data as you need. To onboard participants, click My Children in the navigation panel then click + Add Child

Note: If you are using a KidKare Food Program account you can onboard children unaffiliated with the Food Program to Parachute. If you would like to onboard a child to the Food Program after they have been onboarded to Parachute make sure all of the following fields are filled in on their profile:

  • First Name
  • Last Name
  • Birth Date
  • Enrollment Date
  • Relation to Provider
  • Primary Guardian
  • Days in Care
  • Participating Meals

  1. Enter First and Last Name
  2. Save & Add Next Child
    • Use this to add multiple children quickly
    • In order to add a child only the first and last name are required
  3. Or Save & View
    • This allows you to edit the child's profile

Child's Profile

Upon viewing the Child's profile you can fill in the following information

  1. Photo
    • Click the Camera Icon to add a photo for the participant
    • Click Delete to delete the photo
  2. First Name, Last Name
    • Edit child's name
  3. Status
    • Enrolled
    • Inactive

Note: To edit additional Profile details click the Edit icon button

    • Personal Information 
      • Date of Birth
        • Select date on calendar or enter in MM/DD/YYYY

      • The Checkmark Icon indicates authorized to pick child up
      • The X Icon indicated they are not authorized to pick child up
      • Click the + Icon to add either:
        • An Existing Guardian
          • If the Guardian has already been onboarded click on their name in the Associated Guardian dropdown 
        • A New Guardian

          Note: You can also onboard a new Guardian from the Payer section outlined below

          • Quickly onboard a new Guardian by filling out the required fields
            • First Name
            • Last Name
            • Phone Number or
            • Email Address
            • You can also add other associated children to this payer by selecting the appropriate child from the Associated Child dropdown 
    • Agency
      • A quick view of all associated Agency information
      • Click the + Icon to add either:
        • An Existing Agency
          • If the Agency has already been onboarded click on their name in the Associated Agency dropdown 
        • A New Agency

          Note: You can also onboard a new Agency from the Payer section outlined below

          • Quickly onboard a new Agency by filling out the required fields
            • Agency Name
            • Primary Contact Name
            • Phone Number or
            • Email Address
            • You can also add other associated children to this payer by selecting the appropriate child from the Associated Child dropdown 
  2. School & CACFP
     

    Note: If you have a KidKare Food Program account you should only only store CACFP data there, but you may still view it within KidKare. Consult your Sponsor if you have any questions

      • Found on the back of the insurance card

      • Phone number to contact insurance company 
    • Click the Add Insurance Button to add additional insurance if child is covered by multiple plans
  4. Allergies & Immunizations
    • Allergy/Condition
      • Enter in name of allergy or condition
      • Enter in details about any specific know allergies or conditions for child
    • Immunizations
      • Record dates of all applicable immunizations
  5. Payments

    Note: Data entered into this section will be used to auto-populate rate and tuition fees when creating an invoice for this child

    • Default Rate
      • Amount ($)

        • Hour

    • Discounts (% or $)
      • Click the [INSERT v ICON] to switch between % and $
      • Use this to indicate if the child receives an discounts in care, subtracts from the invoice total
    • Subsidy
      • (% or $)
      • Click the [INSERT v ICON] to switch between % and $
      • Use this to indicate the child receives subsidized care billed on a different invoice our outside of Parachute, subtracts from the invoice total
    • Default Payers
      • Here you should see a list of all Payers associates with the child with Payer Permissions enabled
      • If there are multiple payers you can add a default split by % or $
        • Click the down arrow icon to switch between % and $
        • If you split by $ you will be asked to select who should be charged if the Invoice total is larger than the amounts selected

Payers

To view a list of all Payers click Payers in the navigation panel

  1. Filters
    • Search
      • Start entering in the Participants name to automatically filter the list by what you enter
    • Filter by Payer type
      • Guardian
      • Agency
    • Filter Payers by Status
      • Active
        • Participants who are still in your care and a part of your program
        • Participants must be active to be added to an Invoice
      • Inactive
        • Participants who are no longer in your care 
      • Both
  2. Sort by
    • Alphabetical by Last Name, First Name
    • Alphabetical by First Name, Last Name
  3. To View a Payer's Profile click their Icon/Name

Onboard Payers

You can either onboard a Payer from the Associated Child's profile (above) or from the Payer page. This section illustrates how to create a new Payer by clicking the Add Payer button on the Payer page. 

  1. After clicking Add Payer button select if this payer is a Guardian or Agency
    • Guardian
      • This is meant to indicate the payer has a personal relationship with the child
      • This payer type can still be used even if the Payer is not a legal guardian of the child
    • Agency
      • This payer type can be used for onboarding 3rd party billers or agencies that provide funding for a child's care
  2. To add a guardian you must add the following fields:
    • First Name
    • Last Name
    • Phone number or email address
  3. To Add an agency you must add the following fields:
    • Agency Name
    • Primary Contact First Name
    • Primary Contact Last Name
    • Phone number or email address
  4. Click Save & Add Next Payer
  5. Or click Save, this will take you to the Payer's Profile

Payer Profile

The Payer profile is broken into Invoices and Profile Details

Invoices

  1. Total Unpaid
    • This is the total balance of Invoices for this Payer that have not yet been paid
  2. Account Credit
    • This is the total balance of Account Credit that has been granted for this Payer, but not yet used
  3. Invoices Table
    • This is a history of all invoices for this Payer
  4. Create Invoice
    • This allows you to create a new Invoice directly from the Payer's profile 

Note: To edit additional Profile details click the Edit icon in the upper right hand corner 

Guardian Profile Details

  1. Photo
    • Click the Camera Icon to add a photo for the participant
    • Click Delete to delete the photo
  2. First Name, Last Name
    • Edit Guardian's name 
  3. Status
    • Active
    • Inactive
  4. Personal Data
    • Permission to Pay
      • Yes (Default) or No
        • Required to be marked "Yes" in order to generate an invoice for this Payer
    • Permission to Initiate Payments
      • Yes or No
        • Allows Payer to spend payments that are not associated to an Invoice
    • Address
      • Street Address
      • Zipcode
      • State
    • Phone Number
    • Email Address
    • Primary Language
    • Additional Language
    • Authorized to Pick Up Child
      • Yes or No
    • Enrolled in Autopay
      • This is updated by the Payer depending on their settings

 Agency Profile Details

    • Click the Camera Icon to add a photo for the participant
    • Click Delete to delete the photo
  2. Agency Name
    • Business name for 3rd party biller
  3. Status
    • Active
    • Inactive
  4. Personal Data
    • Permission to Pay
      • Yes (Default) or No
        • Required to be marked "Yes" in order to generate an invoice for this Payer
    • Permission to Initiate Payments
      • Yes or No
        • Allows Payer to spend payments that are not associated to an Invoice

Add Associated Children

Adding Associated Children works the same for both Guardians and Agencies. Payers will need to be associated with children in order to create an invoice for a specific child

  1. Within the Profile Details of an individual Payer you will see the Associated Children Section
    • If you associate a Payer with a Child in the Child's Profile you will see the associate reflected here as well
  2. To add an Associated Child click the + icon next to Associated Children
  3. Select child from dropdown
